What Prepress Means for Multipage Documents
Prepress is the stage between a finished design file and the printing press. For single-sheet work, prepress is relatively straightforward. For multipage documents — catalogs, booklets, saddle-stitched brochures, perfect-bound books — prepress involves a set of additional steps that determine whether pages land in the right order, the right orientation, and with consistent margins across every spread.
The core challenge is that readers experience pages sequentially, but printers produce them in large flat sheets that are later folded, cut, and bound. Every decision made during file preparation either supports or complicates that physical transformation.
Page Imposition and Signature Planning
Imposition is the arrangement of individual pages onto a press sheet so that, after folding and trimming, the pages appear in the correct order. For multipage work, pages are grouped into signatures — sets of pages printed on a single sheet that fold together as a unit.
Common signature sizes include 4, 8, 16, and 32 pages. A saddle-stitched booklet always requires a total page count divisible by four; a 20-page booklet is not possible without adding filler pages or splitting into two signatures. Understanding this early prevents costly redesigns later.
- Reader spreads vs. printer spreads: Designers typically build files in reader spreads (pages 2–3 facing each other as they appear to a reader). Imposition software converts these into printer spreads, where the pages that print on the same sheet face each other — for a 16-page saddle-stitched booklet, pages 16 and 1 share the outer front sheet, while pages 8 and 9 share the center.
- Creep (also called pushout): In saddle-stitched work, inner pages physically extend slightly past outer pages after folding. For booklets with many pages, this offset — creep — must be compensated by progressively narrowing the inner margins of interior signatures, or text and images near the gutter will shift toward the trim edge.
- Work-and-turn vs. work-and-tumble: These are two common sheet layouts used when printing both sides of a single sheet. In work-and-turn, the sheet is flipped on its long edge; in work-and-tumble, on its short edge. The chosen method affects how the gripper edge is maintained and should be coordinated with the pressroom before final file submission.
File Setup: Bleed, Margins, and Safe Zones
Multipage documents require consistent application of bleed, trim, and safe-zone settings across every page — not just the cover. A missed bleed on an interior page can cause a white edge to appear after trimming, which is especially visible on pages with full-bleed backgrounds or edge-to-edge images.
- Bleed: Artwork that extends to the trimmed edge must be extended beyond it — typically 0.125 inches (3 mm) on all sides. This extra area is cut away after trimming, ensuring no white gaps appear at the edge.
- Trim line: The actual intended finished edge of the page. All trim marks in the submitted file should reference this boundary.
- Safe zone (live area): Text, logos, and critical image content should be kept at least 0.125 inches inside the trim line. For documents with many pages and potential binding shift, increasing this margin to 0.1875 or 0.25 inches on the gutter side is advisable.
- Gutter margins: The inside margin must account for both the binding method and any creep compensation. Perfect-bound documents lose more of the inner margin to the binding than saddle-stitched ones; thicker catalogs require larger gutters.
Files submitted as multi-page PDFs should be set up in single-page format (not reader spreads) unless the service provider explicitly requests otherwise. Most imposition software works from single pages and handles spread assembly automatically.
Color, Fonts, and Preflight for Multipage Work
Color consistency across a long document requires that all pages use the same color mode and profiles. Mixing RGB and CMYK objects within the same file — or across pages — can produce unexpected shifts after rasterization. For print, all color should be converted to CMYK before submission, with any embedded images checked individually.
Black text in body copy should be set to 100% black (K only), not rich black. Rich black — typically a combination of C, M, Y, and K — is appropriate for large solid areas like backgrounds, but applying it to small text causes registration problems that make type appear blurry or fringed.
Fonts must be fully embedded in the submitted PDF. Variable fonts and fonts with restricted embedding permissions are common sources of preflight failures. Converting text to outlines eliminates font embedding issues but removes the ability to make text edits and increases file size — use selectively for display type only.
Preflight should be run on the final collected document as a whole, not page by page. Multipage preflight catches cross-page inconsistencies in color profiles, image resolution, and page geometry that single-page checks miss. Resolution for full-color images destined for offset printing should be 300 ppi at final output size; line art (black-and-white raster artwork) should be 1200 ppi.
